Job Description
After 8 years of employment, this operation's primary Office Manager has given notice of her retirement, which means we are looking for a new individual with extensive experience in accounting and administrative tasks to take over the primary bookkeeping and contract regulation for this bustling breeding and racing program. This person will be the primary billing and AR/AP accounting contact for all clients of this multi-faceted business. This person will also be responsible for managing the company payroll, releasing stallion certificates, and monitoring/renewing/enforcing breeding contracts. While this is not a hands-on-horses opportunity, this person must be well versed in the equine industry as they will be routinely conversing with high end trainers and owners regarding their accounts. Ample knowledge of the terminology and rules associated with the thoroughbred breeding industry is a key requirement for this role. This role does include the oversight of a part-time office assistant who will be able to share some of the lesser tasks. Some light management skills are strongly desired.
Job Duties
- Maintain accounts for all business entities, including the training and breeding operations, pinhooking ventures, appraisal services, and personal accounts of the farm's Owner.
- Oversee all AR and AP activities, including the issuance of monthly statements to Clients and shareholders
- Invoicing and records keeping for all horse sales, breeding contracts, and horse share agreements
- Receive and distribute race earnings to shareholders
- Converse as needed with clients and shareholders regarding the status of their accounts and contracts
- Process payroll for all farm employees on a bi-monthly basis and maintain standard HR duties for all farm employees (Vacation scheduling, benefits payouts, 401k management, etc)
- Generate and produce both monthly and annual P&L reports, balance sheets, and expense ledgers to Owners and shareholders
- Prepare monthly, quarterly, and year-end tax reports on each business venture
- Maintain all necessary insurances including equine, auto and business policies
- Light management of part-time office personnel
